Keeping Paperwork Up To Date

Maintenance For Your Business

By William T Lasley, About.com

Keeping your paperwork updated is a responsibility that is easy to overlook. The best way to ensure that your documents are current is to keep an ongoing list of any paperwork used. This list can then be used as a reference whenever any information changes.

When should you update? Whenever anything about your business changes.

What should be updated? All printed material including business cards, order forms, price sheets, fliers, letterhead and more! Additionally, digital material such as Web sites and email signatures should reflect changes. When one piece of information changes about your business, everything will need to be updated.

Mailing Address
Has your mailing address changed since you created your documents? Do you now own a storefront? Although addresses do not change often, be sure your printed materials are updated when it is neccessary!

Phone Number
Phone numbers can change more often than you might think. Localities sometimes change area codes. New business lines are added. An 800 phone number may have been purchased. Cell phones are often more accessible for calls. When any of this information is changed or added, your paperwork should reflect it.

Web Site Address
Have you created a Web site? Perhaps you now have a new domain name instead of the free service you've been using. Any online presence you have should be kept updated in your offline literature.

Email Address
Email addresses can change very often. If you have a new ISP, your address will change. If you have a newly-created Web site, you may need to update your old contact email address.
